Interview questions and user answers:

First user:
    A-  Asked about Biography?
My name is Mohammad Kabir Osmany son of Mohammad Akbar Osmany I am 23 years old and also I am single. I am graduated from Sultan high school in 2008. I joined computer science faculty in 2010. I have been working in a pharmacy of mine since 1997.

B-    What kind of application do you need for accounting?
I need a simple application to take track of my simple accounting activity. Generally I have three important characteristics for accounting in pharmacy which are:
Sales, purchases, withdrawals and expenses; the software should calculate these three characteristics through the month.

C-    What kind of functionalities do you need for the software?
As I said before I need a simple application, it means just entering the data or accounts and calculating the monthly and annual accounts.

D-    Sorry what do you mean by entering data, do you need a database?
Exactly I need a database to store my accounts so that I can manage my account by the help of the software which you are going to make for me.
E-    What kind of security or ways you need for your software to save data?
It is good to have secure software. Regarding security I want to mention two things :
First the behavior of software must be secure and second my data or account must be safe as well. I think if I have password my data would be secure.
F-     What are your benefits by using this software?
By using computer based system my lifestyle will change. I leave paper and pen. If I want to check my asset I can do it in a few seconds while by using paper maybe I could do it in one or two week so these are all facilities which are going to be provided for me.

Second user:
    A-   Asked about Biography?
My name is Mohammad Aaref Osmany son of Mohammad Akbar Osmany I am married I am 31 years old. I am graduated from sultan high school in 2000, after school I joined medical institute department of pharmacy and now I am working as pharmacist in my own pharmacy. I have to mention that I have been working in pharmacy since I was 9 years old.
B-    Have you had any software in your administration field till now? If yes please explain it.
No we haven’t had such software for our accounting purpose. Our accounting work is done by paper and pen and it is too boring I think.
C-   Please tell us which persons do you want to permit to have access to this software?
Me and two of my brothers. My brother said that he wants to hire an accountant to do the accounting tasks using this software and if we hire accountant the accountant should also have permission.
D-   What are the problems that made you come up with this decision?
Sometimes we lost our bill check and we forgot our daily sales so we toke a decision to have software to store data in it. It is also good when we want to calculate our asset, by using paper it takes one or two week but I think by using software it will take a few minutes or maybe even seconds.

Short summary of new findings:
Having had the interview with the user we’ve found that they are to hire an accountant for their pharmacy to have full access to all the data and the partners only need the view permission of the database. Also it’s required to have a back-up option as well as search capability of the data.
New findings and changes:
  • Accountant
  • Data back-up
  • Search

Final Scenarios:

Scenario 1

Accountant:
One of the partners returns from the market, bringing bills of purchases he has made.  He gives the bill to the accountant of his pharmacy. The accountant enters the bill information into the database of the software.
During the day, one of the partners will withdraw an amount of cash from the pharmacy and will ask the accountant to write it in his account, into the database.
At the end of the day the accountant is responsible to calculate the total amount of the day sales and enter them into the database as daily sales.

Scenario 2

Partners:
At the end of the month one of the partners sits at the computer to check the total amount he has withdrawn.
The second partner asks the accountant to show him the monthly report of sales, purchases, withdraws expenses and the total benefit of the month.
The third partner asks the accountant to show him an exact date’s sales and purchases.
At the end of the year the partners gather to see their annual accounts, including sales, purchases, withdraws, expenses and profit for the year.
